How Golf Travel Group and its brands collect, use, share and protect personal data.

This statement explains how Golf Travel Group Limited collects, uses, shares and protects personal data — through this website, and when you enquire about or book a golf trip with any of our brands: Golf Travel Centre, golftours.com and Chaka Travel.

Who we are

Golf Travel Group Limited is the controller of your personal data. We are a company registered in England and Wales (company number 09924450), with our registered office at Old Sorting House, 46 Essex Road, London N1 8LN.

The personal data we collect

We collect only what we need for the purpose in hand.

  • When you contact us or send an enquiry: your name, email address, telephone number, the company you work for, and anything you tell us in your message.
  • When you sign up to our newsletter: your email address, and the page you signed up from.
  • When you enquire about becoming a partner: your name, company, role, contact details, the kind of partner you are and the details of your enquiry.
  • When you book a trip with one of our brands: the names, dates of birth and contact details of everyone travelling, passport details where a supplier requires them, handicap information, payment details, and any requests you make.
  • Health and access information, such as a medical condition, disability or dietary requirement, only when you choose to tell us so that we can arrange your trip. This is special category data, and we use it only for that purpose and with your consent.
  • When you use this website: technical information such as your IP address, browser and device, and the pages you visit. Some of this is collected with cookies — see our cookie policy.

How we use your data, and our lawful bases

  • To answer your enquiry and provide quotations — because you have asked us to (steps before entering a contract), or in our legitimate interest in responding to a business enquiry.
  • To arrange and manage your booking, including passing details to the hotels, golf courses, transport providers and other suppliers who deliver your trip — to perform our contract with you.
  • To meet our legal and regulatory obligations, such as keeping financial records and meeting the requirements that apply to package travel — because the law requires it.
  • To send you news and offers by email, SMS or WhatsApp — only with your consent, which you can withdraw at any time.
  • To understand how this website is used and improve it — in our legitimate interest in running a useful website, and, where cookies are involved, with your consent.
  • To keep our systems and your data secure, and to prevent fraud — in our legitimate interest, and to meet our legal obligations.

Marketing, and how to opt out

We send marketing only when you have agreed to receive it. Every marketing email has an unsubscribe link, and you can reply STOP to any SMS or WhatsApp message. You can also email hello@golftravel.group to change your preferences at any time. We will never sell, rent or give your personal data to anyone else for their own marketing.

Who we share your data with

We share personal data only where we need to, and only with:

  • Suppliers who deliver your trip — hotels, golf courses, airlines, transfer companies and local partners. They use your data to provide their part of the trip, under their own responsibilities as controllers.
  • Service providers who act on our instructions, including HubSpot (our customer relationship, forms and email marketing platform), Vercel (which hosts this website) and our payment providers. They may use your data only to provide their service to us.
  • Professional advisers, regulators and law enforcement, where we are required or permitted to by law.

International transfers

Some of the organisations above are based outside the United Kingdom. HubSpot and Vercel process data in the United States, and the suppliers who deliver a trip abroad are, by their nature, in the country you are travelling to.

Where we transfer personal data outside the UK, we make sure it is protected — by relying on the UK's adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework), or on the International Data Transfer Agreement or the Addendum to the EU Standard Contractual Clauses. Where a transfer is necessary to deliver a trip you have booked, we rely on it being necessary to perform our contract with you.

How long we keep your data

  • Enquiries that do not lead to a booking: up to two years from our last contact with you.
  • Booking records: for seven years after your trip, to meet our accounting, tax and legal obligations.
  • Marketing preferences: until you unsubscribe, after which we keep only what we need to make sure we do not contact you again.
  • Health and access information: only for as long as we need it to arrange and complete your trip.

Keeping your data secure

This website is served only over an encrypted (HTTPS) connection. We use appropriate technical and organisational measures to protect personal data, and access to it is limited to the people who need it to do their job.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is inaccurate or incomplete;
  • ask us to delete your data, or to restrict how we use it;
  • object to our use of your data where we rely on our legitimate interests, and at any time to direct marketing;
  • ask us to transfer data you have given us to another organisation; and
  • withdraw your consent at any time, where we rely on it.

Complaints
