Booking conditions
The contractual terms that apply when you book a golf trip with any brand in the group.

These booking conditions apply when you book a golf trip with any brand in the group — Golf Travel Centre, golftours.com or Chaka Travel. Please read them before you book: together with your confirmation, they form your contract with us.
1. Your contract and who it is with
Your contract is with Golf Travel Group Limited, a company registered in England and Wales (company number 09924450), registered office Old Sorting House, 46 Essex Road, London N1 8LN. "We" and "us" in these conditions mean Golf Travel Group Limited, trading under the brand you booked with.
A contract exists once we have received your deposit and issued a written confirmation. Please check your confirmation carefully as soon as it arrives, and tell us within 72 hours if anything — names, dates, accommodation, tee times — is not as you expected.
The person who makes the booking (the "lead booker") must be 18 or over, and accepts these conditions on behalf of everyone named on the booking. The lead booker is responsible for making all payments and for passing on to the rest of the party any information we send them.
2. Prices, deposits and paying the balance
Your price is shown on your quotation and confirmation. Unless your quotation says otherwise, a non-refundable deposit is payable when you book:
- UK trips: £25 per person
- Europe: £50 per person
- Rest of the world: £100 per person
The balance is due no later than eight weeks before departure. If you book within eight weeks of departure, the full price is payable when you book. If the balance is not paid on time, we may treat the booking as cancelled by you, and the cancellation charges in section 5 will apply.
We accept payment by debit or credit card (Visa and Mastercard) and by bank transfer. We do not charge a fee for paying by card.
Local taxes, such as tourist taxes and resort fees, are set by local authorities and suppliers, can change at any time, and are payable locally unless your confirmation says they are included.
3. Changes to your price
Once your booking is confirmed, we will only increase the price if our costs change as a direct result of changes in transport costs (including fuel), taxes or fees charged by third parties, or exchange rates. We will not increase the price in the 20 days before departure.
If an increase would take your price up by more than 8%, you may accept it, take an alternative trip if we can offer one, or cancel and receive a full refund of everything you have paid. If those same costs fall, you are entitled to a corresponding reduction, less our reasonable administrative costs.
4. Financial protection and ABTA
Your package is financially protected in the way the Package Travel and Linked Travel Arrangements Regulations 2018 require, so that if we became insolvent the money you have paid us would be refunded, or, if you were already travelling, you would be able to continue your trip or be brought home. The protection that applies to your booking is set out on your confirmation.
We are a member of ABTA, membership number Y6372. We are obliged to maintain a high standard of service to you by ABTA's Code of Conduct, and we can offer you ABTA's scheme for resolving disputes — see section 14.
5. If you change or cancel your booking
Changes. If you want to change your booking after it is confirmed, tell us in writing. We will do our best to help, but we cannot guarantee a change will be possible. Where it is, you will need to pay any costs our suppliers charge us, plus a reasonable administration fee. A change may mean a promotional price or discount no longer applies.
Transferring your booking. You may transfer your booking to someone who meets all the conditions of the trip, provided you give us written notice at least seven days before departure. You and the new traveller are jointly responsible for paying any balance and the reasonable costs of the transfer, which we will tell you before it is made.
Cancellation. The lead booker may cancel at any time before departure by telling us in writing; a cancellation takes effect on the day we receive it. Because our costs rise as departure approaches, these charges apply:
- More than eight weeks before departure: your deposit.
- Eight weeks or less before departure: up to 100% of the total price, depending on how close to departure you cancel and on whether we can recover any of the costs.
Where our suppliers' own terms allow us to recover part of the cost, we will pass that saving on to you.
You may cancel without paying a cancellation charge if unavoidable and extraordinary circumstances at your destination, or in its immediate vicinity, significantly affect your trip or your travel there. In that case we will refund everything you have paid.
If you do not travel, join a trip late or leave it early, no refund can be given for the parts you did not use. Your travel insurance may cover you in some of these situations.
6. If we change or cancel your booking
We plan our trips months in advance and occasionally have to change them. Most changes are minor, and we will tell you about them as soon as we can.
If we have to make a significant change — such as a change of destination, a lower standard of accommodation, or a material change to your golf — we will tell you as soon as possible and you may:
- accept the change, with a price reduction where it is appropriate;
- accept a replacement trip of equivalent or higher standard at no extra cost, or of a lower standard with a refund of the difference; or
- cancel and receive a full refund of everything you have paid.
We will only cancel your booking if unavoidable and extraordinary circumstances prevent us from providing it, or if the balance has not been paid on time. If we cancel for any reason other than non-payment, we will refund everything you have paid.
7. Tee times, green fees and course conditions
Tee times are booked with the golf course and confirmed as soon as the course releases them. Courses control their own tee sheets, and may occasionally change a tee time, restrict play or close because of weather, maintenance or events. We will try to secure a suitable alternative, but cannot guarantee one.
Weather and course conditions are outside our control. Winter golf may be played on temporary greens or tees. Where a round cannot be played, any refund depends on the course's own policy.
Some courses require a handicap certificate or proof of playing ability, and all expect players to know the rules and etiquette of golf. A course may refuse to let you play if these requirements are not met, and no refund would then be due. Golf clubs and many hotels have dress codes; please follow them.
8. Golf equipment, buggies and caddies
Buggies, trolleys, caddies and equipment hire are subject to availability at the course unless your confirmation includes them. If you are taking your own clubs by air, check your airline's baggage rules and charges before you travel.
9. Group bookings
For a group booking, the lead booker is responsible for the whole party: for passing on information we send, for collecting and making payments by the due dates, and for telling us promptly of any change to the party. Where we offer individual payment links, each traveller's payment is credited to the group's booking, and the lead booker remains responsible for the balance being paid in full on time.
10. Your responsibilities
You must follow the reasonable instructions of our suppliers, and behave in a way that does not cause danger, damage or distress to others. If your behaviour is disruptive, a supplier or we may end your trip without a refund and without responsibility for your return. You must pay for any damage you cause.
11. Special requests and access needs
If you have a special request, please tell us when you book. We will pass it to the supplier and do our best to meet it, but unless your confirmation says it is guaranteed, we cannot promise that it will be.
If anyone in your party has a medical condition, disability or access need that may affect the trip, please tell us before you book, so that we can check with our suppliers that they can meet your needs.
12. Travel insurance
Adequate travel insurance is a condition of your booking. It must cover cancellation, medical expenses, accident and illness, and — for travel outside the UK — the cost of bringing you home. We are not responsible for costs that insurance would have covered.
13. Passports, visas and health
You are responsible for having a valid passport, any visas and any other documents needed for your trip, and for meeting any health requirements. Many countries require your passport to be valid for at least six months beyond your return date. Check the latest entry requirements and travel advice for your destination on the Foreign, Commonwealth & Development Office website at gov.uk/foreign-travel-advice, and speak to your GP or a travel clinic about vaccinations and health advice. We are not responsible if you are refused travel or entry because you do not have the right documents.
14. If something goes wrong
If you have a problem during your trip, tell the supplier straight away so that they can put it right. If it is not resolved, contact the brand you booked with immediately — we cannot help with a problem we do not know about, and not telling us may affect any claim.

If we cannot resolve your complaint, you may use ABTA's scheme for the independent resolution of disputes, which is approved by the Chartered Trading Standards Institute. See abta.com for details.
15. Our responsibility for your trip
We are responsible for providing the travel services in your contract. If any of them are not provided as promised, we will put it right or offer an appropriate price reduction or compensation, unless the failure was caused by you, by a third party unconnected with your trip, or by unavoidable and extraordinary circumstances.
If you are in difficulty during your trip, for any reason, we will give you appropriate assistance without undue delay.
Where an international convention limits the compensation a carrier or accommodation provider must pay — for example for air, rail or sea travel, or for lost luggage — our liability is limited in the same way. Except for death or personal injury, our liability to you is otherwise limited to three times the price of your trip, and we are not liable for business losses or for losses we could not have foreseen.
16. Unavoidable and extraordinary circumstances
These are circumstances beyond our control whose consequences could not have been avoided even if all reasonable measures had been taken — for example war, riot, civil unrest, terrorist activity or its threat, natural disaster, severe weather, fire, epidemics and pandemics, and the closure of airports or ports.
17. Accommodation
Star ratings are given by the hotel or by local authorities, and standards differ between countries. Building and maintenance work does sometimes take place at hotels; if we know that it will significantly affect your stay, we will tell you before you book or as soon as we become aware.
18. Law and jurisdiction
These conditions and your contract are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you live in Scotland or Northern Ireland, you may also bring proceedings in the courts where you live.
